We are seeking a reliable, detail-oriented Office Administrator to support the daily operations of our customer's front office. This role is ideal for someone who enjoys working in a fast-paced environment, has strong organizational skills, and is comfortable handling a variety of administrative, customer service, and bookkeeping-related responsibilities. The successful candidate will serve as the first point of contact for customers, assist with office administration, maintain accurate records, and support project documentation and accounting processes.
Key Responsibilities & Duties:
- Greet customers, vendors, and delivery personnel in a professional and friendly manner.
- Answer and direct incoming phone calls, take messages, and respond to general inquiries.
- Provide excellent customer service and maintain positive relationships with clients.
- Enter invoices, receipts, and other financial transactions into QuickBooks Desktop accurately and timely.
- Assist with maintaining organized financial records and supporting accounting functions.
- Verify documentation and ensure proper recordkeeping of receipts and invoices.
- Maintain and organize client files, both physical and electronic.
- Scan, upload, and archive project-related documents.
- Distribute customer receipts, completion documents, sign-off sheets, and other project paperwork.
- Ensure records are accurate, complete, and easily accessible.
- Collect, review, and track employee timesheets for both field and office staff.
- Assist with maintaining accurate timekeeping records and communicating discrepancies when needed.
- Perform general clerical duties including filing, copying, scanning, and document preparation.
- Monitor and maintain office supplies, placing orders as needed.
- Ensure shared office equipment is stocked and operational (copiers, printers, etc.).
- Assist with opening and closing office procedures.
- Support team members with various administrative tasks as assigned.
- Maintain organized filing systems and office records.
- Assist with document retention and administrative process improvements.
- Keep workspaces and common office areas organized and presentable.
Experience & Education Qualifications:
- Three or more years of experience in an administrative setting required (construction industry highly preferred)
- High school diploma or equivalent required.
- Basic working knowledge of QuickBooks Desktop.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Strong data entry and organizational skills with attention to detail.
- Excellent verbal and written communication skills.
- Ability to prioritize tasks, multitask, and work independently.
- Professional demeanor and strong customer service skills.
- Reliable attendance and dependable work ethic.
Location: Tampa, FL 33629 - onsite only
Hours: Flexible schedule to be elected with a start time between 7am & 9am, ending between 4pm & 5pm based on start time - Monday to Friday with flexibility for overtime if needed
Pay: $23 to $27/hour
